Work Study

You may be able to work a part-time job while you’re attending school. Our students are placed in positions on our 3 main campuses, academic and learning centers or off campus with private nonprofit organizations promoting community service work. Your total work-study award depends on when you apply, your level of financial need, and our current year funding level. Apply early so you’ll have a better chance of receiving work-study funds.

The following guidelines apply to you as a CSN work-study student:

  • When you are unable to report to work, your supervisor should be contacted at least one-half hour prior to the designated time to start work if you are going to be absent or late.
  • Be prompt, dependable and reliable. Tardiness should not be included in hours worked for payroll purposes.
  • Be courteous and polite in your interaction with others.
  • Children are not allowed to accompany you while on duty.
  • You are responsible to learn and follow office procedures.
  • As a work-study student, you must abide by the UNS Code, Board of Regents Policy and the Nevada Statutes.
  • If you work four or more continuous hours, you are entitled to a 15-minute break.
  • If you work six or more continuous hours, you are entitled to a one-half hour break. YOU MUST REFLECT THIS ON YOUR TIME SHEET.
  • You cannot work more than an eight-hour day. If you work 8:00 am - 5:00 pm it is considered an eight hour day with a one hour unpaid lunch.
  • DO NOT WORK MORE THAN 20 HOURS PER WEEK.
  • DO NOT WORK WHEN YOU ARE SCHEDULED TO BE IN CLASS.
  • Any alterations or changes to your work schedule must be approved by your supervisor and the Work-Study Coordinator.
  • Type of Time Sheet used-N.C.R. (Duplicates) only.
  • Time Sheet must be turned into the Office of Student Financial Services on or before the 8th and the 23rd of each month.
  • If the 8th or 23rd falls on a weekend or holiday, the time sheets will be due on the previous work day.
  • The entire time sheet must be filled out correctly and signed by both the student and the supervisor.
  • Any corrections must be completed by the due dates.
  • If the student works six to seven continuous hours, a half hour break must be annotated on the time sheet.
  • If the student works eight or more continuous hours, a one-hour break must be annotated on the time sheet.
  • If a time sheet is continuously filled out incorrectly, this may result in removal of the work-study student.
  • A work-study student may not switch departments without the approval of the Work-Study Coordinator.
  • A two week, or agreed upon notice must first be submitted to the department before the student may change departments.
  • A work-study student may not change departments more than three times; doing so will result in termination of remaining work-study funds.
  • If a work-study student does not work for 30 continuous days, funds may be reduced.
  • Paychecks will be issued on the 10th and 25th of each month. If the 10th or 25th falls on a weekend or holiday, paychecks will be issued on the previous workday.
  • Work-study funds will be divided by semester. Students cannot work until the following semester if semester funding is exhausted, unless arrangements are made with the Work-Study Coordinator.
  • Accessing or discussing CONFIDENTIAL information (for personal reasons) is grounds for immediate termination.

**Failure to adhere to the above guidelines could result in the termination of your work-study employment.**

WORK STUDY TERMINATION POLICY
You have been made aware of your rights and responsibilities within the work-study Program. That information should enable you to avoid problem situations. If you have a work related problem you have been unable to resolve, you make an appointment with the Work-Study Coordinator to discuss solutions. Departmental complaints regarding student workers will processed as such:

  1. If a problem arises, a verbal warning will be given. This could be on a casual basis (i.e.: in a group or one on one).
  2. If the problem persists, the student will be talked with, one on one. This meeting will be followed up in writing with notification explaining that the next step will be suspension and or termination.
  3. The third and final step will result in a written termination notice. A copy of the entire procedure will be kept in the students file.

Areas that may constitute the enactment of this process are:

  1. Not notifying the department when you cannot come to work,
  2. Excessive or pattern of repeated tardiness,
  3. Excessive or pattern of repeated absences,
  4. Inadequate job performance.

Work-Study Procedures for Supervisors

  • Entire NCR time sheet must be filled out correctly before processing will occur.
  • Both student and supervisor signatures must be on NCR time sheet.
  • Half hour and one hour breaks must be annotated on NCR time sheets.
  • If the student works 6 to 7 hours, a half hour break must be annotated on NCR time sheet.
  • If the student works 8 or more hours, then a one-hour break must be annotate on NCR time sheet.
  • Time sheet is due in the Office of Student Financial Services (Cheyenne Campus) by the 8th and 23rd of each month. If the above-mentioned dates fall on a weekend or holiday, then the time sheet is due on the previous day.
  • You may accept time sheets any time before the 8th and the 23rd only if received by the Office of Student Financial Services (Cheyenne Campus) by the above-mentioned dates.
  • Accuracy is very important. If errors persist on the time sheets, this may result in losing your work-study student.
  • The supervisor must turn in the time sheet.
